Regular payroll service

What our payroll service includes

Each pay run starts from approved employee information and ends with reports that explain both net pay and the employer liability.

Payroll data review

Pay, hours, tax codes, starters, leavers, leave, deductions and changes are checked for the period.

Gross-to-net calculations

PAYE, employee National Insurance, pension contributions, student loans and other deductions are calculated.

Payslips and employer report

Employees receive clear payslips and the employer receives a payroll summary for payment and bookkeeping.

Real Time Information

The Full Payment Submission is sent using the correct payday, with an Employer Payment Summary when required.

Starters, leavers and year end

Starter information, P45 processing, leaving dates, final reports and P60 documents are handled within scope.

PAYE and pension liabilities

The amounts due to HMRC and the pension scheme are reported so they can be paid and reconciled.

Real Time Information

The FPS is normally due on or before payday

The Full Payment Submission tells HMRC who was paid, the payment date and the deductions calculated. It should normally be sent on or before the employee’s payday, even where PAYE is paid quarterly.

An Employer Payment Summary can report recoverable statutory payments, Employment Allowance and periods when nobody was paid. Where a reduction is needed, the normal EPS deadline is the 19th after the tax month.

People and changes

Directors, starters, leavers and statutory payments

A small payroll can still be technically demanding when employment details change during the year.

Company directors

Director National Insurance uses specific annual or alternative methods, and salary should agree with the company records and personal return.

New employees

P45 or starter declarations, tax code, National Insurance category and student loan information must be captured before the first report.

Leavers and corrections

Final pay, leaving date, P45 and any correction should be reported promptly so HMRC and employee records remain consistent.

Statutory payments

Eligibility, qualifying earnings, notice, evidence and recovery must be checked for maternity, paternity, adoption and sick pay.

Automatic enrolment

Payroll and workplace pension records must agree each period

The employer remains responsible for assessing workers, issuing required communications, applying the scheme rules and paying contributions on time. Payroll supplies the earnings and contribution calculations, but scheme duties do not end with the payslip.

New starters, age changes, postponement, opt-ins, opt-outs and salary sacrifice arrangements should be reported before the pay run is approved.

Provide before each payroll

  • hours, salary, overtime and bonuses;
  • starters, leavers and absence dates;
  • tax-code or student-loan notices;
  • expense, benefit and deduction instructions;
  • pension changes and scheme notices;
  • approved payment date.

Small employers in Cardiff

A dependable payroll gives the business useful monthly records

For a consultancy, trade, shop, restaurant, property business or growing service company, the payroll report should feed directly into bookkeeping and cash-flow planning rather than remain a disconnected payslip exercise.

We provide the gross pay, deductions, employer costs and liabilities in a consistent format so the company accounts, PAYE account and pension records can be reconciled.

Payroll timing matters

Tell us about changes before the processing cut-off. Reporting a payment with the wrong date can place it in the wrong tax period and produce an incorrect HMRC balance.

Common questions

Questions about payroll and paye services

The answer can change with the period, records and connected transactions. These are the usual starting points.

Can you run payroll for one director?

Yes. Director-only payroll is available, with the pay level agreed in the context of company profit, personal tax and the director’s wider remuneration.

When must PAYE be paid to HMRC?

Electronic payment is normally due by the 22nd after the tax month or quarter, and non-electronic payment by the 19th. The employer’s actual HMRC account should be checked for the period.

Do you register new employers for PAYE?

We can assist with PAYE registration and the opening payroll setup as separately agreed work. Registration should be completed early enough to receive the references needed for RTI.

Does payroll include automatic-enrolment administration?

Payroll calculations can include pension deductions and contribution reports. Scheme setup, declarations, employee communications and complex compliance work are separately scoped.

Can you correct an earlier payroll submission?

Yes. We first reconcile the payroll records and HMRC account, then use the correction method required for the affected tax year and submission.
